How team billing works (per-seat pricing explained)

Every active user in your organization counts as a seat. Here's what that means for your bill when you invite or remove users, or have auto-add domain enabled.

Fyxer uses per-seat billing. This means you're billed based on the number of people in your organization who have access to Fyxer – not the number of inboxes connected. This article covers how seats are added and removed, what that means for your bill, and how to stay in control of your costs.

How per-seat billing works in practice

You're billed for every user in your organization. Seats scale up and down as people join or leave.

For example, if your plan is $37.50/user/month and you have four users, your monthly bill is $150.


What counts as a seat

A seat is added when:

  • You manually invite a teammate

  • A user signs up with your company email domain and auto-add is enabled (see below)

A seat is removed when:

  • You remove a user from the organization

Seats are per user, not per inbox or email address.


Auto-add domain: the most common cause of unexpected charges

When you set up your organization, there's a setting called "Automatically add users for this domain." If this is on, anyone who signs up for Fyxer using your company email domain (e.g. @yourcompany.com) is added to your organization automatically, without a direct invite from you.

This adds a seat and updates your bill immediately.

If you're the only person who should be using Fyxer, or you want to control who joins, turn this off in Dashboard → Admin settings → Organization → Members & access → Automatically add users for this domain.

What happens when you invite a teammate

When you invite someone to your organization:

  • A new seat is added immediately

  • Your billing updates automatically

You'll see the updated seat count in Dashboard → Admin settings → Billing.


Does the plan affect what a seat can do?

Yes. The features available to each user depend on the plan your organization is on.

  • Starter: each seat gets inbox organization and AI draft replies

  • Professional: each seat gets advanced drafting, meeting notetaker, scheduling, and automation features

All seats in your organization are on the same plan. You can't mix Starter and Professional seats within one organization.


Removing a user

When you remove a user:

  • Their seat is freed immediately

  • Future charges are reduced

  • You're not retroactively refunded, but billing adjusts going forward

Seat removals apply at the next billing cycle or prorated if applicable.​


Who pays for team members

Billing is organization-level. One payment method covers all seats. Invited users do not pay separately – the organization owner is responsible for all charges.


How to avoid unexpected charges

  • Review the auto-add domain setting before sharing Fyxer

  • Invite team members deliberately rather than sharing a signup link broadly

  • Remove users you no longer need

  • Check your seat count regularly in Dashboard → Admin settings → Billing​​


Frequently asked questions

I didn't invite these users – why are they here?

I invited someone during my trial – will I be charged for them?

Yes, once billing begins, all seats are charged, including anyone who joined during the trial.
