Auto-add users with domain: what it is, why it adds seats, and how to turn it off
How auto-add works, why it can create unexpected charges, and how to switch it off.
The "Automatically add users for this domain" setting automatically adds people to your Fyxer organization when they sign up using your company email domain.
This feature can be useful for team rollouts, but it is also the most common reason you might see unexpected multi-seat charges.
What is auto-add?
When Automatically add users for this domain is turned on, anyone who signs up for Fyxer using your company email domain (for example, @yourcompany.com) is automatically added to your existing organization.
This means:
They don't need an invite
They get immediate access to Fyxer
They count as a paid seat
When this setting is enabled, no manual approval is needed. Instead, an email will go to the organization admin notifying them that a new member has joined. They can follow the link in the email to view and manage members (or go to Dashboard → Admin settings → People).
What happens when someone signs up
When a new user signs up with a work email:
Fyxer checks if there's an existing organization for that email's domain
If there is and auto-add domain is enabled:
The user is added automatically
They join your organization immediately
A new seat is created
If auto-add domain is disabled:
The user is prompted to create their own organization
Or must be invited manually to join yours
Admins can control whether their organization appears as an option for new users to join.
The organization admin will receive a notification email when a new person joins, unless they manually invited them.
Why this affects billing
Fyxer uses per-seat billing.
When auto-add domain is enabled, every new user added equals one new seat, so your total seat count increases and your bill updates automatically (with proration if mid-cycle).
This can result in:
Charges for users you didn't explicitly invite
Larger-than-expected invoices
Billing changes during or right after a trial
If you plan to only use Fyxer yourself, this setting should usually be turned off.
When should you use auto-add domain?
Auto-add domain is helpful if:
You want anyone at your company to join Fyxer easily
You're rolling Fyxer out across a full team
You're comfortable with per-seat billing scaling automatically
If you're an individual user or a small team, you'll likely want to manage invites manually instead.
How to turn auto-add domain off
You can disable this setting at any time.
Go to Dashboard → Admin settings → Organization
Under Members & Access toggle Automatically add users for this domain to off
Select Update preferences
Once this setting is turned off:
New users will not be added automatically
Only manually invited users can join your organization
No new seats are added without your action
What if users were already added?
If users were already added via auto-add domain, changing this setting won't remove them. If you want to remove them:
Go to Dashboard → Admin settings → People
Under the Members tab, select the user you want to remove
Select the x to remove them
Billing updates apply to future periods (or prorated where applicable).
Frequently asked questions
I don't remember turning this on – why was it enabled?
This setting can be enabled during organization setup and is easy to miss during onboarding.
Can people join without my approval?
Yes, if auto-add domain is on. Turn this off if you want to manually invite new members.
Does this apply during a trial?
Yes, users added during a trial still count as seats once billing begins.
Will I be refunded automatically if users join using auto-add?
Billing is based on active seats. Removing users reduces future charges, but refunds aren't automatic.
