How Fyxer secures your data
How we protect your data and who can access it.
Your privacy and security shape how Fyxer is built. We only access the data we need to deliver the features you turn on. This article explains how we protect your data, who can access it, and the choices you have over how it's used.
Core principles
Fyxer is built around a few non-negotiables:
Purpose-limited access: we only access data needed to deliver enabled features
Never sold: we don’t sell your data, use it for advertising, or make it public
Trusted providers only: we share data only with the service providers we need to run Fyxer, including AI model providers, under contracts that protect it. See our sub-processor list
Your choice on AI training: you decide whether your data helps train Fyxer's own AI models or you can opt out. No external AI models are trained on your data
User-controlled access: you decide what's connected, and you can revoke access at any time
Email data
When you connect your inbox, Fyxer accesses your email to:
Categorize and prioritize incoming messages
Generate draft replies in your tone and writing style
Support follow-ups and contact memory
Fyxer processes your email content securely to deliver these features. To do this, we send content to the AI model providers we use. They aren't allowed to use it to train their own models. Fyxer's own models may learn from your emails unless you opt out (see AI training and model usage below).
There's always a human in the loop. Drafts are generated dynamically, but you review every one and decide whether to send, edit, or ignore it.
Calendar data
Fyxer uses your calendar connection to:
Check availability for scheduling
Draft scheduling emails based on email context and availability
Book meetings requested using your scheduling link
Book or edit calendar entries when you instruct the Fyxer Chat agent
Meeting Notetaker
Meeting data is only processed when you explicitly enable the meeting Notetaker.
When enabled:
Live transcripts are generated during the meeting
Summaries and action items are created after the call
Notes are stored only in your Dashboard and inbox, and are only shared with people you choose
If Notetaker is disabled, no meeting content is recorded or processed. You remain fully in control of when meetings are summarized.
Before you record a meeting, you must tell everyone on the call that it's being recorded and transcribed by an AI tool. Don't record if consent is refused, uncertain, or where recording is prohibited by law or policy.
AI training and model usage
Fyxer trains its own AI models to improve features like drafting in your voice, sorting your inbox, and transcription. These models are private to Fyxer and aren't shared with any other provider's models.
Before any content is used for training, we replace names and email addresses with codes and remove sensitive information.
This setting is on by default. To opt out, go to Dashboard → Manage your account and uncheck Allow Fyxer to use my data to train and improve its AI models. Admins have an additional setting there to opt out their whole organization by selecting Opt everyone in [organization name] out of model training.

Who at Fyxer can see your content
Fyxer is designed to run without people reading your content. In limited cases, authorized staff may access specific content, for example to investigate a fault, a security incident, or suspected misuse, or to respond to a request you've made. Access is approved case by case and is covered by strict confidentiality obligations.
When staff do need access, it's tightly controlled using Google Cloud's Identity and Access Management (IAM) tools. We remove or hide personal information wherever we can. For investigations such as non-critical bugs, we always do this before anyone looks at the data.
What happens when you disconnect Fyxer
If you disconnect your email or delete your account:
All active access to your inbox and calendar is immediately revoked
Fyxer can no longer read, process, or generate drafts from your data
No new emails, meetings, or events are processed
You may still see folders or labels that were previously created in your inbox. These are native to your email provider and can be removed manually – their presence does not indicate ongoing access.
