Best practices for teams using Fyxer
How to set up your Fyxer organization the right way – covering roles, billing ownership, domain settings, and privacy expectations for your team.
Fyxer works best when teams share clear expectations about billing, privacy, roles, and ownership, while still letting each person work independently in their own inbox.
This guide covers best practices to help teams avoid common setup issues and use Fyxer with confidence.
1. Decide who owns setup and billing, early
Every Fyxer organization has Super Admins and Members.
Best practice:
Assign at least one Super Admin at setup
Ensure the Super Admin understands:
How seats are added
How billing works
How to manage organization settings
Admins control:
Team members and roles
Billing, seats, and plans
Organization-level settings
Members:
Use Fyxer for their own inbox, calendar, and meetings
Cannot change billing or team-wide settings
This avoids confusion later around charges, permissions, or cancellations.

2. Review the auto-add domain setting before inviting anyone
By default, Fyxer can automatically add new users who sign up with the same email domain. You can turn this setting on or off.
Go to Dashboard → Admin settings → Organization → Automatically add users for this domain and toggle this setting off if you don't want users on your domain to be added automatically.

3. Let each team member control their own inbox
Fyxer does not create a shared inbox.
Each team member:
Connects their own email and calendar
Controls their own categorization settings
Sees only their own emails, drafts, and meetings by default
Best practice:
Align on a simple shared mental model, not shared inboxes
Many teams encourage starting the day with To do/To Respond, which surfaces emails that need action
Every email in To Do/To respond requiring a response automatically receives a draft, helping team members reply faster.
4. Remember: privacy is the default
Fyxer is designed around individual privacy first.
Emails are never shared between team members
Meeting notes are visible only to invitees, depending on your settings
Drafts are created per user, in their voice
Even on team plans, Fyxer does not read or learn from other people's inboxes.
