How to transfer your Fyxer account to a new email, domain, or provider

Rebranded or switched email providers? Here's how to move your Fyxer account over.

If your company has changed its email domain, rebranded, or moved between Google Workspace and Microsoft 365, your Fyxer sign-in may need to move too. This article explains when a migration is needed, what we can and cannot move, how to start, and what to have ready.

The process is the same whether you are one person whose email has changed or an admin moving a whole team.


What we do and don't support

Supported:

  • Company rebrands and email domain changes

  • Moves between Google Workspace and Microsoft 365 in either direction, including when your email address stays the same

  • Acquisitions or mergers where the same company continues under a new name or domain

Not supported:

  • Moving your Fyxer account, data, or meeting recordings to a different, unrelated company or employer, for example, if you move jobs. If you create a new Fyxer account, we can move your paid subscription over to it, but your new employer would need to set up their own Fyxer account

If your request looks like a move to a different company, our team will go through the details with you before going any further.


Do you need a migration?

A migration is only needed when the email or provider you sign in to Fyxer with has changed and your old sign-in no longer works.

You need a migration if:

  • Your company changed its email domain (for example, from oldco.com to newco.ai) and your sign-in email moved with it

  • Your company moved between Google Workspace and Microsoft 365, so you now have to sign in with the other provider. This counts as a migration even if your email address stays the same, because your account has moved to a new provider

  • Your company moved to a new Google Workspace or Microsoft 365 account with the same provider, for example after a merger or a change of IT setup (sometimes called a tenant migration)

Two common signs: you can still sign in on a device where you were already logged in, but a new device or browser fails. Or you see an "account exists with different credentials" error.

You do not need a migration if:

  • You can still sign in to Fyxer with your original email. If you have a new mailbox you want Fyxer to handle, or a connection that dropped, sign in with your existing account, then add or reconnect the mailbox under Dashboard → Integrations

  • You are switching a personal email between providers (for example, a personal Gmail address to Outlook) with no company domain change. That is a routine account email change, not a migration, so you will need to delete your account and start a new one

  • You are only renaming your organization or updating its domain details in your Dashboard settings (not the email you sign in with). A Super Admin can do this under Dashboard → Settings → Organization


Before you start

A few things don't carry over, so make a note of them first:

Draft settings

Screenshot or note your custom tone and response style. Go to Dashboard → Drafts → General.

Email rules

Screenshot any custom rules from Dashboard → Categorization → Advanced → Custom rules. These can't be transferred – you'll need to re-enter them.

Signature

You might want to copy your signature text from Dashboard → Drafts → Signatures, or you can set this up again later.

Note that your scheduling link URL will change when you set up your new account.

Meetings

Depending on your situation, meeting recordings can be transferred by Support.

AI tone training, categorization history, and custom rules don't carry over. Fyxer will re-learn your tone from your email history on the new account – this typically takes a few days.


How to start

The fastest way to start is to contact Support using the chat feature on the bottom right of the Dashboard, where we can verify your account and move things along quickly.

We'll need the following from you before we can go ahead.

What we need from you

To verify and process a migration, please have ready:

  1. Your current Fyxer sign-in email (the one you are moving from)

  2. The new email you are moving to. For a Google-to-Microsoft or Microsoft-to-Google move where your email stays the same, this is the same address

  3. A letter on your company's official letterhead describing the change (for example, "we are migrating from oldco.com to newco.ai," or a description of your Microsoft or Google tenant move). A legal representative of your organization must sign it: a legal director, a member of the C-suite, or, for a small business, a director or the owner

  4. For a company-wide move, a list of every affected user with their old and new email

We ask for the letter on every migration so we can confirm the request is genuine before moving any account.


What happens next

  1. We review your request. A member of our team checks the letter and the details. This takes some time, but we'll let you know as soon as it's approved

  2. We send a one-hour recovery link. Once approved, we'll email you to ask when you're available. Once you respond, we send a secure link that moves your existing account, and its data, to the new email. The link only works for one hour, so make sure you're ready

  3. You sign in. Open the link and sign in with Google or Microsoft on the new email to complete the move

For a company-wide move, each affected person gets their own recovery link.


After the migration

  • Reconnect your email and calendar. Go to Dashboard → Integrations → Connect. Once connected, Fyxer will categorize your most recent 300 emails and every new email from then on

  • Re-enter your settings. Add your custom rules and custom instructions, and re-enable Notetaker if you use it

  • Give Fyxer a few days. Fyxer will re-learn your tone from your email history on the new account, which usually takes a few days


Avoiding double charges

Your subscription, billing history, and plan type move with your account. Don't start a new paid subscription on the new account before contacting us; we'll move your existing one so you're not charged twice.

If you've already been charged twice, contact Support and we can refund the duplicate.


If something goes wrong

If the recovery link didn't update your sign-in, or you can't log in after a migration, contact Support right away. Let us know your old email, your new email, and which step failed. Your account data and meeting recordings are safe, and we'll help restore your access.

Will Fyxer still know how I write?

No, but Fyxer will re-learn your tone from your email history on the new account. This typically takes a few days.

What happens to my scheduling link?

Your URL will change. Update anywhere you've shared it.

How long does migration take?

Typically 1-2 business days after contacting support.

What if I can't access my old email at all?

Contact Support. They can verify your identity and complete the migration without access to the old account.
